Workspace Support Assistant Role Profile

 

Plymouth City Council runs two commercial business centres in the city, The Business Centre and City Business Park which together support over 120 small businesses. We are looking for a bright, adaptable and enthusiastic Workspace Support Assistant to be responsible for day to day administration and reception duties. Although primarily based at The Business Centre in Cattedown you will also be required to provide support at City Business Park in Stoke.

 

If you can deliver a high level of customer care, demonstrate flexibility and a good team working spirit, and have an understanding of small businesses then this post could be suitable for you.

 

The role:

 

We are looking for an efficient, friendly and professional individual to carry out this very varied role where your responsibilities will include:

 

·      providing administrative support to the management team

·      frontline reception duties meeting and greeting tenants, visitors, contractors, etc

·      assisting with financial, operational and supervisory functions of the business centres

·      assisting with the smooth running of the business centres

o   creating and updating CRM database and spreadsheets (MS Access & Excel)

o   taking card and cash payments

o   processing orders and invoices

o   processing applications from prospective tenants

o   setting up telephone and internet connections for tenants

o   reporting and following up on building maintenance issues

o   dealing with face-to-face, online and telephone enquiries

o   dealing with incoming mail

o   taking meeting room bookings

o   issuing parking permits

 

We are looking for someone who has:

 

·      previous experience of working within a reception or frontline customer service environment

·      proven administration and organisational skills

·      good computer skills including MS Word, Excel and Outlook

·      a cheerful and confident personality and a positive attitude who is able to fit into a small team 

·      an excellent telephone manner and strong communication skills, both written and verbal

·      ability to work under pressure and use their own initiative

·      flexibility to work outside ‘normal’ working hours as and when required to meet the needs of the service
